Adding Contacts in the Advisor Portal – Agregar contactos en el Portal del asesor

Interactive Brokers’ Advisor Portal offers Financial Advisors comprehensive tools to manage the contact information of both existing and prospective clients. Through the Contacts page, advisors can sort, add, edit, and export contact information, streamlining client management processes.

Advisors can access the Contacts page by navigating through the menu on the left side of the screen and selecting “Contacts.” This page displays all client accounts, including opened and pending accounts, as well as prospective clients (IBKR Traders´Academy, s.f.). The Contacts tab shows all types of accounts, whereas the Accounts tab only displays contacts with associated accounts, including pending and cancelled applications.

1. Managing Contacts

    Advisors can filter contacts using oval icons at the top of the page or the Filter icon to the right, sorting by Contact Type, Account Type, or Account Status. For clients with multiple accounts, clicking the blue number in the Account column provides a summary of these accounts. More specific details on a particular contact can be viewed by clicking their name in the Contact column. The left side menu offers access to tools such as PortfolioAnalyst, Reports, Transfer & Pay, and other CRM functionalities for selected contacts (IBKR Traders´Academy, s.f.).

    2. Adding Contacts

      Advisors can add contacts in three ways: manually, via Excel file, or through a vCard.

      • Manual Entry: By selecting “Add Contact” and choosing “Contact by Manual Input,” advisors can fill in required fields such as the first and last name and phone number, along with optional fields like address and date of birth. Once the information is entered, advisors can review and save the contact.
      • Excel File: Advisors can upload contacts using an Excel template, allowing up to 100 contacts per file (maximum 5MB). The template includes instructions for acceptable field values, and required fields are marked with an asterisk. After adding contacts to the template, advisors can upload the file, make necessary corrections if prompt, and submit it.
      • vCard: By selecting “Contact by vCard File,” advisors can upload a vCard file, which will be confirmed upon successful addition.

      3. Editing and Exporting Contacts

      Profile information for prospective clients can be edited by selecting the blue Information icon next to the contact and clicking the Configure gear icon. Advisors can make changes, review the updated contact, and save the modifications. To export the contact list, advisors can click the blue Download button on the Contacts page and choose “Contact Summary to CSV.” This export allows further sorting and management of contact data (IBKR Traders´Academy, s.f.).

      Overall, the Contacts feature in the IBKR Advisor Portal facilitates efficient management of client and prospect information, enhancing the advisor’s ability to maintain organized and up-to-date records.
